RCCF Grant FAQ

General Information

  • What standards guide RCCF’s grantmaking practices?

    RCCF’s grantmaking and due-diligence practices are informed by nationally recognized best practices for community foundations and are designed to ensure fair, transparent, and responsible stewardship of charitable funds. Grant decisions are guided by the purpose of each fund, established eligibility requirements, and the potential for meaningful community impact.
  • What is the link for the grant application portal?

  • Can I email or fax my application?

    No. RCCF grant applications are available and accepted only through the online grant portal.
  • Who can I apply?

    RCCF will consider grant requests from IRS-recognized 501(c)(3) organizations, government or public entities, educational institutions, and religious organizations, subject to RCCF’s due-diligence review. Organizations claiming 501(c)(3) status must provide an IRS Letter of Determination. Eligible entities that are not 501(c)(3) organizations must submit a completed W-9. Other organizations may be considered only for charitable community purposes and may be required to provide additional documentation or oversight to ensure compliance.
  • Is an EIN or Tax ID Number required?

    Yes. RCCF must have an EIN or Tax ID number to consider a grant request. Organizations with questions should contact the RCCF Executive Director, LaMonna Galyon, at lamonna@ricecountycf.org

  • Is a grant agreement required before funds are disbursed?

    Yes. For competitive grants, a grant agreement must be reviewed and signed by the grantee before any funds are released. The agreement outlines the approved use of funds, reporting requirements, and other conditions of the grant. This requirement was adopted effective August 6, 2026.

Applying for a Grant

  • When does the RCCF Grant Fund Cycle open and close?

    The 2026 RCCF Grant Fund Cycle opens Monday, August 10 and closes Wednesday, September 30, 2026, at 5:00 p.m. Central Time.
  • Can my organization apply for more than one project at a time?

    Yes. The online grant portal allows an organization to start multiple applications within the grant cycle.
  • Do I have to complete my application all at once?

    No. Use the “Save” button at the bottom of the application page to save your work before logging out. You may return later to continue the application. RCCF also recommends keeping a backup copy of your responses in a Word document.
  • Is it better to submit applications early?

    Yes. Submitting early gives RCCF staff more time to review the application and request clarification before the review committee evaluates it.
  • What time do I need to submit my application by?

    All applications must be submitted by 5:00 p.m. Central Time on the application deadline. The portal will not accept submissions after that time.
  • Is there a step-by-step tutorial for applying?

    Not at this time. For assistance, contact the RCCF Executive Director, LaMonna Galyon, at lamonna@ricecountycf.org.

  • Do I have to use the budget page provided?

    Yes. Applicants must use the budget page provided in the application. A budget document may also be downloaded for offline preparation

Grant Reporting

  • When is the grant report due?

    The final Grant Impact Report is due within one year of the date the organization receives notification of the grant award or within 30 days after completion of the project, whichever comes first. An organization with an overdue grant report will not be eligible to receive grant funding for two years.
  • What if my project gets delayed? May I request a grant extension?

    Yes. Submit a formal, brief explanation of no more than one page to the RCCF Executive Director, LaMonna Galyon, at lamonna@ricecountycf.org. The request should state the length of the requested extension and include a firm project end date. Submit the request as soon as the need is known and well before the original final-report due date. If approved, the final Grant Impact Report will be due 30 days after the revised project end date.

  • What is required within the grant report?

    The Grant Impact Report asks grantees to explain how the funded project or program made a difference in the community. Questions focus on project outcomes, use of grant funds, and populations served. Grantees must describe how the funds were spent and provide a brief narrative summarizing the project’s impact and story. Grantees may also upload clear, well-lit, original photos that illustrate project outcomes. Screenshots should be avoided. If photos include minors, grantees are responsible for obtaining parental permission before submission.
  • What if I have extra money left over at the end of the project?

    Any unspent grant funds must be reported in the final Grant Impact Report. Grantees should contact the RCCF Executive Director, LaMonna Galyon, at lamonna@ricecountycf.org  to discuss next steps. Unless otherwise approved, unused funds must be returned to RCCF by check, with a brief letter identifying the organization and funded grant project, to:
